Dashboards

User Dashboard

The dashboard provides a simple overview of your activity over the last twelve months (rolling), including the month to date.  Most data displayed (aside from the “Number of sessions approved”) relies on cached data – this cache can be run by your manager by following the costing report caching instructions.

Number of sessions approved

A simple count of sessions that have been created, submitted, and then approved, yesterday vs today.  If you do not have auto-approve privileges, this allows you to spot if your diaries have been approved.  Otherwise, it provides a ‘quick check’ of yesterday’s session count.

Note: This table updates in real time, and does not require the report cache to be refreshed.

Month on Month Comparison

This chart provides a visual overview of your activity by month.  Intervention Count, Patient Sessions, and Hours of Service are shown.  Intervention Count is calculated to be:
Total Intervention(s) Per Session / Number of Staff Member(s) Per Session

The table displays the same data in numeric form.

Clinical Care Month-on-Month

There are several activity types.  Time assigned to Clinical Care is devoted to patient care.  Therefore, it is useful to know how much of your time is spent in direct care for patients.  The Clinical Care Percentages show the proportion of your time that is marked as “Clinical Care” compared to all time spent.

New and Others Patient Session Type Count Month-on-Month

This chart shows the number of sessions you spent with patients between this month and last month.  Patients are split into “New” (first session of a referral) and “Other”.

Management Dashboard

The dashboard provides a simple overview of your reporting unit’s activity from the start of last month to today.  Most data displayed (aside from the “Number of users who upload data” and “Number of sessions approved” tables) relies on cached data – this cache can be run by following the costing report caching instructions.

Number of users who upload data

This is a simple count of the number of staff members in your reporting unit using their barcode scanners to track data.  Users entering data manually using the web interface are not included in these counts.

Note: This table updates in real time, and does not require the report cache to be refreshed.

Number of sessions approved

A simple count of sessions that have been created, submitted, and then approved across the reporting unit, yesterday vs today.  If staff members do not have auto-approve privileges, their sessions will not be included in these totals until you enter approval mode and approve their sessions.

Note: This table updates in real time, and does not require the report cache to be refreshed.

Month on Month Comparison

A visual display of intervention counts, patient sessions and hours of service across the reporting unit, last month vs this month.  Only Clinical Care data is included.

Speedometer charts

These charts show the ratio of workload this month compared to last month.  In each case, this ratio is calculated by:
(This month value / Last month Value) * 100

·         Intervention Count

·         Hours of Service (Clinical Care only)

·         Patient Sessions Count

·         Total Activity Duration (All activity)

Intervention Price Comparison

This chart shows the income from interventions performed last month vs this month.  The value of individual interventions can be assigned on the “Intervention Type Price” page.

Staff Cost Comparison

This chart displays the cost of workers’ time, last month vs this month.  Staff members’ level and grade can be assigned on the staff page.  The wage for a staff member of the various levels can be assigned on the “Hourly Cost” page.

Breakeven Point

This chart shows how close your reporting unit is to breakeven point, last month vs this month.  The value is calculated as:
Intervention price – Staff cost

Activities Breakdown

These pie charts show the breakdown of activity types across the reporting unit.  “Clinical Care Percentage” tells you the proportion of time your staff spend in patient care compared to other tasks.  The Clinical Care Percentage excludes Leave time from the calculation.

The table below the pie charts displays the same information numerically.

Staff Level and Grade Information

These tables show your utilisation of your various staff types, displaying attendance count, clinical care ratio and cost.  Staff attendance count is calculated as:
Count of staff attendances in all activities i.e clinical care, management/administration, leave.

On page 2, you can see the same information presented graphically.
